Key Points to Assets Tile

  • Designated area where users can go to view their assets.
  • Enables users to view/edit all information relating to an asset.
    • Attributes, History, Attachments, Notes, Relationships.
  • Allows users to Create, Import, Export Asset data.
  • Search for a unique asset or group of assets.  

Detailed Description of Assets

The Assets Tile is a centralized location to review assets and view/edit all details associated to that asset.

The search results allow users to see which workflows are associated with an asset, and quickly access the details or schedule a work request.

When searching for assets users can check the box to Show Active Only, or leave the box unchecked to show both active and inactive assets. Search results will give the user quick access to view/edit the Details of each asset.Users may also choose between a card view and a table view.

Create an Asset

Quick Steps to Create an Asset through Assets Tile

  1. Select the Assets Tile from the Dashboard.
  2. Select an Account from the drop down.
  3. Select the Create icon.
  4. Select the Asset Class the Asset belongs to and click Create.
  5. Complete the Asset Details Page.
  6. Select Save at the bottom of the screen.

Asset Search 'Create'

Details on creating an asset through the Assets Tile -

  • Asset ID: Generated Automatically. The asset ID is used to identify an asset when searching for it.
  • Account: The account is already be chosen and nothing needs to be done to this section.
  • Asset Class: In the previous section you chose an Asset Class. If the wrong Asset Class was chosen, you can change.
    Note: Certain aspects are controlled by asset class, such as equipment class. See section above for more information.
  • Asset Description: The Asset Description is used to describe the Asset for future searching.
  • Attributes: Predefined Attributes of the asset.  Fill in as needed. These will contain fields such as Lubricant, manufacturer, model, service type, etc...

Quick Steps to Edit an Asset

  1. Search for the asset.
  2. Select the asset from the search results.
  3. Select Edit in the upper right corner.
  4. Make any required changes to the asset.
  5. Click Save to save changes or Cancel to discard changes.

Quick Steps to Changing the Asset Class on Assets

  1. Find the Asset that needs to be moved.  
  2. Select the Asset. 
  3. Select the Edit button.  
  4. Change the Asset Class by clicking on the Asset Class box and selecting the new Asset Class. 
  5. Select Save at the bottom of the screen.

Asset Information: Once an Asset has been moved to a different Asset Class a list of the new attribute information will appear. The information will not automatically populate from the old Asset Class to the new one. To add this information the user will need to select Edit on the Asset, and complete the Attribute section under details. Once the information is saved, the user will be able to view the old and new attribute data under the Details on the Asset.

Quick Steps to Attachments

  1. Go to Asset Details.
  2. Scroll down to Attachments panel.
  3. Right click on the asset folder.
    1. Create- Create new sub folders.
    2. Delete- Delete folder or attachment.
    3. Edit- Edit or Rename attachment (the folder names may NOT be edited).
    4. Upload- upload additional files.

Quick Steps to Creating a relationship between Assets

  1. Search and find the Parent Asset.
  2. Select the Asset.
  3. Scroll down to the Relationships section.
  4. Select the Pencil in the upper right hand corner to Edit.
  5. Select the + Add button
  6. Use the asset search to find the child asset.
  7. Select the asset.
  8. A confirmation dialog will appear: Are you sure you want to assign or change the parent of the selected asset?
  9. Select OK to confirm the child relationship assignment for the selected asset.
  10. The asset appears as a child in the relationship tree on the Asset Relationship tabs.

Other notes about Assets:

Equipment Class: This is a hidden attribute each asset has. A logic matrix calculates what the equipment class should be based on various attributes of the asset.

The Layout when viewing a specific asset are as follows:

  • Edit: Button in the top-right corner of the screen. Full Details of the Asset including attributes and Asset ID may be edited here
  • Description of the Asset: This section shows basic information such as the name, account, asset class and Lubricant.
  • Attributes: As mentioned in the "Create an asset" section above, this lists all the details about this asset.
  • Work History: Allow the user to review previous work completed against this asset.
  • Timeline: User can add Notes, Photos, Images, Links to the timeline
  • Attachments: Quickly and easily access all attachments. Folders exist for easy organization
  • Relationships: Manage and review the parent/child relationships and schematics for this asset.
  • Asset History: Review all actions changes/updates etc... 
  • Routes: If this asset is associated with any Routes they will be listed
