Account Details Help

Key points of Accounts

  • Accounts are associated with business lines, and can represent direct accounts, sub-accounts and facilities. Accounts provide a powerful and flexible account management system and analytics foundation that is intuitive and efficient.
  • Accounts are at the top of the hierarchy within Mobil Serv; work is separated into different Accounts.
  • Accounts represent groupings of assets and work.
  • Accounts can be managed in a recursive manor, creating parent-child nested relationships among the accounts.
  • Parent-only accounts can have an unlimited number of nested children, representing customer need to group assets and work according to business needs.
  • Examples of Accounts can be divisions of departments within an organization.
  • Individuals can be assigned to one or more Accounts.
  • Accounts have a running history of changes made.

Account Details page

The accounts page provides quick access to many account details, organized into panels.

Each panel can be edited. Hover over the upper right-hand corner to reveal the pencil icon.

Search for an Account

  1. Select the Account tile from the Landing Page or from the quick navigation menu.
  2. Enter search criteria in the Search Accounts and text box type in the search criteria. 
  3. Select Search.

Advanced Search for Accounts

Advanced search allows you to create simple or multi-attribute search criteria. Advanced search allows you to combine keywords with operators such as AND and OR to produce more relevant results. Depending on the field criteria selected, additional options become available: equal, not equal to, begins with, doesn't begin with, contains, doesn't contain, ends with, doesn't end with, is empty, is not empty.

Using the Add rule or Add group of rules buttons allow you to further drill further specify the search.

For Example: search for the Accounts in any Business Line with "Maint' in the name AND who have a Stakeholder with "Smith" in the name.

To save a search, select Save and choose Save As to name the search.

To use a saved search, select the Saved Search drop-down and select the desired search to run.

Quick Steps to Create an Account

Create in the Account Search page.

The Business Lines section when creating an account.

  1. Select the Account tile from the Landing Page or from the quick navigation menu.
  2. Click Create in the top-right corner of the screen.

  3. The Create a new account wizard appears.
  4. Select a Business Line and click Next.

  5. Enter Account information and click Next.

  6. Select Users and click Next.

  7. Click Save.

Quick Steps to Edit an Account

When an account is selected from the list, the Account Edit screen for that specific account is displayed. Any information that is no longer correct in the designated categories within the various panels can be updated.

  1. Search or Click on the Account to edit.

  2. Click on the Pencil Icon to Edit information in the panel. (hover over the upper right hand corner to display the icon). Each panel is editable independently.
  3. Enter or update the Account information.
  4. Click Save to save changes, or Cancel to exit without saving.

Note: When you change the parent account for a child, you are automatically directed to update the users associated with the account. See Editing Accounts for more information.

Quick Steps to Copy an Account

To create an account that is similar to an existing account, simply copy the existing account. The basic information (address, business line, stakeholder(s), etc.) so that it does not have to be entered again.

  1. Search or Click on the vertical ellipses on the Account Card and select Copy Account.

OR

  1. Click the Account card to Copy.
  2. Open the ellipses and select Copy Account.
  3. Select a Business Line, enter the account profile information, select users and assets to copy.
  4. Once new information has been entered, click Save.

Viewing Account Relationships

Quick Steps to View Account Relationships

  1. Select the Accounts tile from the Landing Page or from the quick navigation menu.
  2. Search for the Account. Select the account by selecting the account card.
  3. If the account has a parent, it is visible in the main panel; if the account has children, there is a Child Accounts panel.
  4. Changes can be made on the Details Tab.

Detailed Information on Account Relationships 

Utility Cloud gives you the ability to view all of the parent/child account relationships via an account details tab. With the appropriate permissions, you can also export an existing account and then import the changes to create a parent/child relationship among accounts. 

Changing an account parent

  1. When you change the parent account for a child, you are automatically directed to update the users associated with the account. 
  2. From the Update Account Information window, when you select Save, and  when you have changed the Parent Account field, the Search for and add users window appears. 
  3. You can update the users and select Save, or select Cancel to exit without updating the account users.



Quick Info about History

  • Users can see changes that have occurred on the Accounts they are assigned to.
  • Tiles of each event are fully translated to whichever language is selected.
  • Details are not fully translated at this time.
